JOB PURPOSE To provide a full secretarial and administrative service to the Manager and additional secretarial assistance and support to other department staff as necessary. JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS - Undertakes a variety of administrative routines and is able to do so without supervision.
- Acts as a receptionist for visitors, establishes nature and priority of requirement of unexpected visitors or making a later appointment as appropriate.
- Screens incoming telephone calls, where appropriate deals with queries and enquiries within established guidelines or refers calls to others as appropriate.
- Co-ordinates the diary, schedules and co-ordinates travel arrangements for the Manager.
- Co-ordinates arrangements for a variety of internal and external meetings, and assembles appropriate material for the meetings/conferences.
MINIMUM QUALIFICATIONS/EXPERIENCE/KNOWLEDGE/SKILLS - 10 Years schooling or equivalent
- 3+ years in an administrative capacity in a medium or large sized company
- Secretarial qualification or diploma is essential
- Shorthand and/or speedwriting would be an advantage
- Must be fully competent in MS Office applications
- Must have a high degree of fluency in spoken and written English
- Pleasant telephone manner and the ability to prioritise work
- Strong administrative skills
