JOB PURPOSE

To provide a full secretarial and administrative service to the Manager and additional secretarial assistance and support to other department staff as necessary.

JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS

  • Undertakes a variety of administrative routines and is able to do so without supervision.
  • Acts as a receptionist for visitors, establishes nature and priority of requirement of unexpected visitors or making a later appointment as appropriate.
  • Screens incoming telephone calls, where appropriate deals with queries and enquiries within established guidelines or refers calls to others as appropriate.
  • Co-ordinates the diary, schedules and co-ordinates travel arrangements for the Manager.
  • Co-ordinates arrangements for a variety of internal and external meetings, and assembles appropriate material for the meetings/conferences.

MINIMUM QUALIFICATIONS/EXPERIENCE/KNOWLEDGE/SKILLS

  • 10 Years schooling or equivalent
  • 3+ years in an administrative capacity in a medium or large sized company
  • Secretarial qualification or diploma is essential
  • Shorthand and/or speedwriting would be an advantage
  • Must be fully competent in MS Office applications
  • Must have a high degree of fluency in spoken and written English
  • Pleasant telephone manner and the ability to prioritise work
  • Strong administrative skills
